General Notes
- All quoted rates and itineraries are subject to change without prior notice.
- Transfers and excursions will be operated by coach, bus, van, or car, depending on the number of participants.
- Tours are based on the following durations: Full Day (8 hours), and Half Day (4 hours). Additional charges apply for extra hours.
- Rates do not include the tour leaderโs accommodation, meals, or any additional expenses unless explicitly stated in the contract.
- All packages can be fully customized upon request.
- All tours are accompanied by a professional, licensed English-speaking guide. Other languages are subject to availability and may incur supplementary charges.
- Should a half-day tour exceed 6 hours, it will be charged as a full day. Should a full-day tour exceed 10 hours, it will be charged as one and a half days.
- Rates apply strictly to travel agent groups. For individual bookings, please contact us directly.
- Hotel check-in is between 2:00 – 3:00 PM, and check-out is at 11:00 AM.
- Airport transfers depart as follows: 4 hours before flight time for Dubai Airport, 4.5 hours for Al Maktoum & Sharjah Airport, and 5.5 hours for Abu Dhabi Airport. Clients are fully responsible for their transportation in case of delays.
- Extra meals (half board or full board) can be arranged upon request.
- Child airfares are charged at the same rate as adult fares.
- Supplement charges apply during public holidays, exhibitions, conferences, and peak seasons.
- Special programs and VIP/Incentive/Delegation services will be arranged upon guest arrival unless otherwise specified.
- Educational tours include special itineraries and activities tailored for students.
Responsibility
- Sam Travel & Events serves only as an agent for airlines, hotels, transport companies, restaurants, and any third-party suppliers and is not liable for any injury, damage, loss, accident, delay, or irregularity caused by these suppliers.
- When activities or tickets are provided through third parties, their terms and conditions apply. Refunds, if applicable, follow the providerโs policies. Sam Travel & Events bears no responsibility for their acts, omissions, or negligence.
- To the maximum extent permitted by law, Sam Travel & Events accepts no liability for any damage, loss, accident, sickness, injury, or death arising from participation in any activity. Clients must have valid travel and health insurance.
- All personal belongings are carried at the clientโs sole risk.
- Sam Travel & Events is not responsible for any decision made by immigration or other authorities regarding refusal of entry, deportation, penalties, or fines caused by a clientโs inadequate travel documents or legal violations.
- The agent or individual making the booking is fully responsible for providing accurate traveler information.
- Clients acknowledge the potential risks of certain activities and agree to follow all instructions provided by the activity leader. If a leader determines that a participantโs behavior or physical condition endangers the group or themselves, the participant may be removed from the activity without any refund.
Payments & Booking Conditions
- All rates are quoted in US Dollars, all invoices will be issued accordingly.
- Rates are net, non-commissionable, and inclusive of applicable taxes and service charges.
- Rates do not apply during festivals, exhibitions, conferences, or holidays (Eid, Christmas, etc.).
- Bookings must be submitted at least 21 days before group arrival, and 60 days prior during special seasons or major events.
- Full payment for any package, tour, or service is required upon booking. Failure to settle the payment at least 14 days prior to the activity date may result in automatic cancellation with applicable charges.
- No refund applies to cancellations made less than 21 days before the activity date. No-shows are charged 100%.
- Group deposits are non-refundable, non-transferable, and cannot be applied to other passengers.
- Group size reductions will result in recalculated rates.
- No refunds are permitted after flight or attraction ticket issuance.
- The agent/company is responsible for all expenses related to tour leaders, including accommodation, flights, visas, and other costs.
- Sam Travel & Events reserves the right to cancel or modify any activity due to weather conditions, force majeure, government restrictions, illness, or other unforeseen events. A refund or partial refund may be provided only when rescheduling is not possible.
- No personal injury or accident insurance is included except in cases of bus accidents during transportation.
- Activity schedules and durations are indicative and may change due to seasonal factors. Some entertainment (e.g., belly dancing during Ramadan) may be unavailable.
- All packages require a minimum number of participants. If the minimum is not met, the company may cancel the tour or offer a private tour at revised rates.
- Alcohol and smoking are strictly prohibited during tours and inside vehicles. Non-compliance may result in immediate cancellation without refund.
- All booking details should include: Full name is the same as the passport – Color photograph & passport copy (If applying for a Visa) – Number of participants (Including children’s ages) – Tour leaderโs local & international contact number
Additional Commercial Terms
- Special Offer: Applies exclusively to advance bookings made before arrival and is not valid for bookings made during or after arrival.
- All rates are subject to change at any time without prior notice and may only be confirmed upon receipt of full payment.
- Extra hours will be charged for any extended activities, services, or delays beyond the specified program.
- Group rates apply only for a minimum of 20 participants booked in the same hotel.
- All rates are net and non-commissionable.
- Rates remain subject to change until full payment is completed and verified.
- Children aged 3 to 6 years will share existing bedding with parents unless an extra bed is requested (additional charges may apply).
- All packages can be fully customized upon request according to availability and applicable surcharges.
- Group deposits are strictly non-refundable under all circumstances.
- Deposits for reduced ticket seats are Non-refundable & Non-transferable, and cannot be reallocated to other passengers within the group.
- Group deposits cannot be used to cover outstanding payments or ticketing for the remaining passengers; any unused deposit is considered forfeited.
- Any reduction in group size will result in revised pricing based on the new number of participants.
- Refunds are Not Permitted after ticket issuance for any reason.
- STPC (Stopover Paid by Carrier) services and access to airport lounges are Not Included in the airfare unless explicitly stated otherwise.
- Child airfare tickets are charged at the same rate as adult fares.
- Supplement charges apply during peak periods such as public holidays, exhibitions, conferences, special events, or high-demand seasons.
